TrekkingPartners lets guides choose from four cancellation policies that protect both the client and guide alike. The cancellation policy that the guide chooses depends on how far in advance the guide must begin preparing and making arrangements for the trip.

Your refund amount is determined the number of days prior to departure that you cancel your booking.

Cancelling Your Trip

Please make any cancellation request by telephone or email to both TrekkingPartners and your guide. The date on which the request is received will determine the amount to be refunded.


Cancellation by the Guide

If a Guide cancels a confirmed booking made via the Site, Services, and Application, (i) TrekkingPartners will refund the Part Payment for such booking to the applicable Client within a commercially reasonable time of the cancellation and (ii) the Client will receive an email or other communication from TrekkingPartners containing alternative Listings and other related information. If the Client requests a booking from one of the alternative Listings and the Guide associated with such alternative Listing confirms the Client’s requested booking, then the Client agrees to pay TrekkingPartners the Total Fees relating to the confirmed booking for the Trip in the alternative Listing, in accordance with these Terms. If a Guide cancelled a confirmed booking and you, as a Client, have not received an email or other communication from TrekkingPartners, please contact us at mail@trekkingpartners.com.


Extraordinary Circumstances

The Guide is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or rail, non refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc. If the Client is offered a refund but requests an alternative tour of a higher value than that originally booked, then the Client must pay the difference in price. Where after departure a significant element of the trip contracted for cannot be provided, the Guide will make suitable alternative arrangements for the continuation of the trip. If it is not possible to provide a suitable alternative or the Client reasonably rejects any suitable alternatives, the Guide will provide the Client a refund of unused tour portions. Where a significant alteration or cancellation occurs which is not due to Force Majeure or other circumstances beyond the Guide’s control, the Guide will in some circumstances offer compensation. Significant alterations do not include the substitution of a transport, modification of itineraries, change in cabin category or hotel accommodation provided it is of the same category.

The Guide can cancel the activity without adherence to the cancellation period if weather conditions, governmental actions, unforeseeable or unavoidable external circumstances endanger or make carrying out the activity impossible or substantially more difficult.


Exclusion from Participation

The guide has the right to refuse admittance or exclude you from an activity if you do not meet the eligibility requirements, or if your participation puts you or others at risk, or otherwise interferes with the proper conduct of the activity. In these cases, the price paid cannot be refunded.


Cancellation in the Event of Inclement Weather

Certain Trips may be weather-dependent. Notwithstanding the foregoing, in the event of inclement weather, the Guide has the discretion as to whether the weather conditions will prevent the Trip from taking place. As a Guide, if you need to cancel a Trip for reasons of inclement weather, you must contact the Client and TrekkingPartners as soon as possible. Subject to the Client's consent, the Guide and the Client may choose to reschedule the Trip for another date. If the Trip cannot be rescheduled, as a Client, please contact TrekkingPartners so we may assist in finding a replacement, non-weather-dependent Trip. For clarity, in the event the alternative Trip is of a higher price than the former, you may be responsible for any difference in price. In the event the alternative Trip is of a lower price, you may be entitled to a partial refund for the difference. As a Client, if you have contacted TrekkingPartners as provided above and TrekkingPartners is unable to find you a replacement Trip, TrekkingPartners may refund the Part Payment for such booking to the applicable Client within a commercially reasonable time of the cancellation.


Unused Trips

If you don't make notice of your cancellation and do not show up for your trip date, there will be no refund.
